Minutes for October 11, 2011 -- St. Paul’s United Church Council

 

 

Present:  Sheila Anthony, Liz Bruce, Rev. Patsy Henry, Liz Hughson, Nancy Moore-Carr, Marni Pedersen, Jeannette Pixley, Dawn Sieben.   Trustee: Erma Bracken

Call to order: 7:00 p.m. by Sheila Anthony.

Adoption of Agenda:  As amended, moved by Jeannette Pixley, seconded by Dawn Sieben.  CARRIED

Minutes of September 13, 2011 meeting:   Jeannette Pixley moved, Liz Bruce seconded the adoption of the minutes as amended.  CARRIED

Business Arising / Discussion from the minutes:

a)    The Vice-chair position on council remains vacant.   The names of Erma Bracken and hopefully at least one other will be presented at the next congregational meeting as recommended new members of council.

b)   A report on the updating of the roll was tabled to the December meeting. 

c)    Anniversary weekend preparations under control.  Liz Hughson will get a cake for the pot luck lunch following the service.  Rev. Patsy Henry will introduce our guest speaker, Judy MacGillivray. 

d)   Rev. Patsy Henry will put a notice in the bulletin regarding a congregational meeting to be held Nov. 6.  The congregational meeting concerns the 45%-55% allocation split; presentation of new members of council; request for volunteers to organize the Christmas hampers and the Christmas Cookie Drive.  

Correspondence:  Rev. Patsy Henry will post any flyers she received that may be of interest to members of the congregation.

Reports:

a)    Minister’s Report:  Rev. Patsy Henry continues to work on organizing her very busy schedule.  Full report:  Appendix A 

b)      Worship & Pastoral Care, Education & Outreach:    Plans for the next PA day are in the works, plus a Sunday school bike-a-thon. Report submitted by Marni Pedersen .   Appendix B.

c)    Finance:  General Fund deficit as of October 1st:  -$6,176.28.  Bank balance end of September:  $15,789.95  Nancy Moore-Carr moved adoption of financial report.  Jeannette Pixley seconded.  CARRIED.    

d)   Property & Maintenance:  The banister to the upper room has been repaired.  The manse and office phones are now working properly.  Problems with the water system are being dealt with by a plumber.  Jeannette Pixley expressed her desire to see a tall faucet with an attached sprayer installed in the kitchen.  Work remains to be done on the bell tower.    

e)    Social Planning & Fundraising:  Marni Pedersen and Dawn Sieben will organize the Christmas Craft sale, November 12th, 9-2.  Liz Bruce has agreed to organize the bake sale.  Rev. Patsy Henry will donate a large teddy bear for the craft sale.  Marni Pedersen will ask for ‘basket’ donations again this year.  Sheila Anthony and Dan Bell will be making chilli for the ‘cafe’.  Costco will once again be donating the turkeys for the Christmas hampers. 

Liz Bruce will ask her card group whether they would like the church to prepare their Christmas dinner again this year.

f)      Presbytery:  Dawn Sieben will take the minute books back to this month’s meeting of Presbytery in hopes they will pass inspection.   Report submitted:  Appendix C.

g)    Manse:  Discussed under Property & Maintenance.

h)    Joint Needs Assessment:  Five applications received to date.

New Business:  

a)   Rev. Patsy Henry has requested that a “Messages for the Minister” box be placed in each church to assist her in remembering important information people would like to pass on to her.  Sheila Anthony will make a box for St. Paul’s.

b)   A concerted effort will be made to try and balance Sunday announcements, joys, and concerns.  Announcements concerning money and fund-raising will be kept to a minimum. 

c)  The Joint Worship Committee recommended that our charge have 2 services on Dec. 24th (6:00 p.m. Family service at Trinity:  7:30 p.m. Communion Service at St. Paul’s).  No services on Sunday, Dec. 25th (A take home service will be provided for those who would like it), and regular services on Sunday, January 1st.  Marni Pedersen moved, Liz Hughson seconded, that the recommendations of the Joint Worship Committee be accepted.  CARRIED

d)  Nancy Moore-Carr will update our phone tree for the next meeting of council.

e)  As Rev. Patsy Henry is away from Nov. 7-21, the next meeting of council will be held on December 13th.
